Legal and Risk (Warsaw)

Legal & Risk Team Warsaw provides advisory, administrative and analytical services across a range of risk issues, such as: (i) services with respect to Anti-Money Laundering and KYC procedures regarding the firm’s clients, including additional clients, sanctions screening; (ii) responding to audit letter requests; (iii) supporting the firm’s financial hygiene objectives by managing the Engage Helpline inbox, uploading engagement terms onto Engage database and chase process; (iv) handling information barriers requests and clash clearance; (v) providing a portfolio of reports including business acceptance reports, daily matter opening report, new client reports, client-specific reports; (vi) Legal advice with respect to, among other things, implementation of new policies and regulations, and many more.

Finance Services (Warsaw)

General Ledger (GL)

GL supports Financial Services with the closing of ledgers, monthly prepayments calculation, accruals and other postings, and prepare reconciliation of BS accounts and cost centre reports. GL is heavily involved in preparing VAT declaration for UK entities

Accounts Payable (AP)

The AP team duties include processing vendor invoices, expense claims, creating and maintaining vendor accounts and preparing and executing payment proposals.

Accounts Receivable (AR)

AR processes cash allocation of bank statement receipts, reconciles daily statements, raises sundry invoices, and produces the daily Inter Bank Transfer (IBT).

Client Accounting (CA)

CA keeps timely and accurate records of client monies held by the firm, checks paperwork for client account receipts and payments, and prepares interest calculations and cash statements – in full compliance with Solicitors Regulation Authority (SRA) rules. 

 

Business Development and Marketing (London, Colchester, Warsaw)

The Pitch Assistance Centre (PAC)

The Pitch Assistance Centre (PAC) helps marketing around the world to prepare high-quality pitch documents for our clients. The team sources firm information, provides formatting, tailors pitch design and imagery and oversees the maintenance of all pitch materials.

Graphic Centre

The Graphic Centre produces client-facing communication templates. They allow the firm to create client-facing materials such as factsheets and HTML invitations that are consistently on-brand.

Client Presentations Centre (CPS)

CPS is a global service, here to support the production of client-facing presentations and marketing collateral used for purposes other than pitches.

Customer Relationship Management Systems (CRMS)

CRMS works closely with Marketing, Business teams and the Practice to continually develop our global CRM Systems Client Book and SAP CRM in line with the firm's changing business processes. This ensures Business Development potential is fully realised. Apart from that, the Team manages the integrity of data within these systems and supports Marketing Communications processes including eMarketing campaign creation, league table submissions and client publication requests.

People Services (Colchester, Warsaw)

Learning and Development People Services

LDPS provides administrative support for the learning curriculum. This comprises internal courses, off-site programmes, seminars and workshops.

Key responsibilities include logistical support, including venue sourcing, arranging materials and catering. The team also manages attendance via the Sophia learning system to maintain the accuracy of training records.

HR People Services

The HR People Services team offers comprehensive HR administrative support throughout the employee lifecycle across a number of the firm's offices. Their scope covers standard processes that range from on-boarding, contractual changes, and leaving arranagements, to administration of benefits and policy enquiries.

Payroll

The Payroll team is responsible for salary payments and statutory deductions for all UK and UAE based employees, long and short term visitors to and from the UK and US Associates based in London. They also operate season ticket loan and salary sacrifice schemes and are responsible for the posting of payroll costs to general ledgers.

 

Digital Automation Capability Team (Warsaw)

We are the Warsaw arm of the firm’s global automation hub. Drawing on globally shared expertise, we work with local colleagues to help them deliver enhanced capabilities through different types of tailored improvements and automation.

 

International Premises and General Insurances (London, Colchester, Warsaw)

Working with Partners, Regional COOs and Operations Managers, International Premises is responsible for advising on all aspects of the premises lifecycle from developing strategy, executing lease negotiations to project managing the fit-out of new premises.

General Insurance covers a range of insurance lines including Property Damage and Business Interruption, Employee and Public Liability, Travel and Personal Accident, and Crime.

 

Business Continuity (London, Colchester, Warsaw)

Working with Partners, Regional COOs and Operations Managers, International Premises is responsible for advising on all aspects of the premises lifecycle from developing strategy, executing lease negotiations to project managing the fit-out of new premises.

Strategic Sourcing (London, Warsaw)

The Strategic Sourcing Team ensures best practice is followed by our central function in all sourcing and supply activities. It details responsibilities in areas ranging from supporting major sourcing projects to promoting sourcing systems and developing policy. They also provide access to all the relevant policies, procedures and templates that should be used.

 

Information Procurement (London)

The team’s main function is to form effective, commercial relationships with information/research service providers. They optimise their value to the business while ensuring cost-effective sourcing of services and an effective risk control environment.

 

Technology Shared Services (Warsaw)

Service Management

This team works across Technology and is responsible for ensuring an excellent service experience. IT Service Management (ITSM) refers to the activities which are performed by the team to design, plan, deliver, operate and control our IT services.

IT Service Management is characterised by adopting a process approach towards management, focusing on customer needs and IT services for customers rather than IT systems, and stressing continual improvement.

SAP Team

The team support Linklaters’ global financial practice management processes, primarily using SAP software integrated with other specialist systems. Located in the UK and Poland, the team carries out all types of work from small fixes through to large projects, providing functionality, infrastructure, security, development, reporting, and interfaces to other systems.

IT Support 

IT Support offer a single point of contact for our Technology users to log incidents, raise questions and make requests for assistance. We operate a 24/7 service and have presence in Colchester, Warsaw, Hong Kong and Singapore, taking contacts via phone, our Service Portal, email and chat. Our IT Support teams, on the ground, provide support for our productivity tools, business applications and desktop environment for our customers. This involves problem identification, analysis, diagnosis and resolution or escalation when necessary.

End User Computing

If you can touch it, we are responsible for it! Supporting over 6,000 laptops and desktops, 5,000 mobile phones and 1,300 printers globally, we are a team spread across Colchester, Hong Kong, Munich and Warsaw, providing 24/7 support.

Controls and Compliance

We assist in efficient management of hardware and software assets. This includes procuring software licences and support contracts, and ensuring we stay compliant across our estate. We also monitor hardware assets and work on continued improvement of the hardware asset management platform. Working closely with the Applications Support team, we design and improve software lifecycle processes.

Application Performance Management (APM)

Our APM Team monitors and manages the performance and availability of software, devices, services and applications. We provide reporting and analysis of data that is collected via specialist tools. Our goal is to help the Technology Function maintain service levels, set performance baselines, drive capacity management and much more. In essence, APM is the translation of IT metrics into business meaning.

Email

We provide end-to-end support of email delivery, archiving, storage and security. This involves investigation of incidents and problems, and contact with third-parties. We provide in-performance monitoring and participate in projects related to infrastructure upgrades.

Applications Support Team

This is a global 24/7 team that Supports Applications within Linklaters. This ranges from large applications such as the Microsoft Office suite to individual bespoke applications used by small groups of people.

Infrastructure

This team is responsible for a wide and growing number of core infrastructure services. This includes global networks, telephone and video conferencing, local office networks and WiFi, and the data centres include hosting, servers, active directory, virtualisation and cloud hosting. We are a service-focused team aligned to underpin the critical business services and operational support teams. The team challenges itself to innovate and continuously improve our systems and services through new technologies, efficient working practices and automation.

Development

The Development team is responsible for all bespoke software development work carried out for Linklaters. Our team of professional software developers, design and build many of Linklaters’ key solutions – from entire applications from scratch, through to technical integration of new solutions with our existing systems.

Architecture

The team is responsible for helping the firm make choices around technology strategy and direction, ensuring that the chosen solutions are high quality, value for money and deliver an exceptional service to our people. We are a global team responsible for ensuring technology solutions align with the strategies of the firm.
